Connie J Keith Adult Amateur Camp Grant Program
Connie J. Keith funds are available for no more than three (3) adult camps per calendar year. To be eligible camps must be designed for adult amateur members of ODS and the residential program must last not less than 3 days. Camps that meet these specifications and the requirements below will receive $1000 per camp to defray charges to participants.
2011 Requirements:
- Participants must be ODS members.
- The camp must be sponsored by an ODS chapter.
- Camps must be at least 150 miles apart and/or the dates camps are held in any one region must be at least two (2) months apart.
- Two camps may not have the same organizer in the same year.
- The organizer must notify the ODS office of intended date, location, instructors, and the procedure/criteria for choosing participants by filling out the ODS Keith Adult Camp application form. The organizer must obtain ODS approval prior to advertising the camp or accepting applications.Â
- Any changes to date, location or planned program must be approved by the ODS Education committee.
- The Regions are defined as the four ODS Regions (North, Central, South, East).
- If there are requests for ODS approval for more than three camps, first consideration will be given to having one camp in each region.
- ODS approval for the next year’s camp(s) will first be granted at the Fall General Membership Meeting. Once a camp is approved by ODS, approval will not be dropped to gain regional balance.
- If no requests are made for funds at the Fall General Membership Meeting, requests may be submitted at a later date and will be decided upon at the next scheduled ODS Board meeting.
- The camp organizer must apply for ODS insurance coverage within thirty (30) days of notification of camp approval, and agree to run the camp in compliance with all current insurance regulations and procedures.
- Within a thirty (30) days after the conclusion of the camp, a report is to be sent to the ODS office. The ODS office will mail it to the Board, the ODS Education Chairperson, and the Connie J Keith Trustee – Barbara Tuohino Funk.
- The report must contain an outline of camp activities, schedule, objectives, instructor(s) biographies, a copy of educational materials distributed at the camp, a summary of event evaluations by the participants, a summary of event evaluations by the instructor(s), a summary of event evaluations by the organizers, a report of all expenditures and revenues, a signed W-9 for instructor(s) and the signed ODS general liability release. Each evaluation instrument should address camp content, instructor effectiveness, and suitability of the facility/venue. Sample evaluation forms are available from the ODS Office.
- Once a complete report has been reviewed by the ODS Education Committee and presented to the ODS Board, the Trustee will authorize disbursement of funds from the Connie J. Keith Trust to ODS to reimburse event organizers in a timely manner.
- The $1000 must be used to reduce the cost to participants. Any profit of more than $200 will be returned to the ODS Education Fund. Â
